So you’ve decided you want a ranch wedding in Texas. Smart move.

But planning an outdoor wedding does require a bit more coordination than a traditional ballroom event. This checklist is designed to walk you through every step — so nothing falls through the cracks on the most important day of your life.


12–18 Months Before the Wedding

✅ Set Your Budget

Before you book anything, get aligned on your total budget. In the DFW area, full-service ranch weddings can range from $10,000 to $40,000+ depending on guest count, catering, florals, photography, and entertainment.

Pro tip: Look for venues that include amenities in the base rental (tables, chairs, sound system, lighting) — it significantly reduces the cost of outside rentals.

✅ Choose Your Venue

Your venue drives every other decision: your date, your caterer list, your décor style, and your photographer’s shot list. When touring ranch venues near Dallas, ask:

  • Is the date exclusively ours, or are other events happening?
  • What’s included in the rental (tables, chairs, sound, lighting)?
  • Is there indoor backup space in case of weather?

9–12 Months Before the Wedding

Book your wedding photographer early — the best ones fill up fast. When hiring for a ranch venue, look for a photographer with outdoor and natural-light experience. Golden-hour portraits on 27 acres look nothing like a ballroom — and you want someone who knows how to use that.

✅ Book Your Videographer

Video is often the thing couples say they wish they’d prioritized more. Outdoor ranch weddings produce incredible cinematic footage — open skies, candlelit receptions, sparkler exits.

✅ Hire a Day-of Coordinator (Recommended)

Even if your venue provides an event manager (which Milagro Ranch does), a day-of coordinator handles the full vendor timeline, communicates with everyone on your behalf, and keeps the day moving. Worth every penny.

✅ Start Your Guest List

Your guest count determines which venue package makes sense, your catering volume, and your table layout. Don’t skip this step.


6–9 Months Before the Wedding

✅ Book Your Catering

For ranch venues, you typically have three options:

  1. Bring your own licensed caterer
  2. Use the venue’s preferred vendor or in-house catering option
  3. DIY setup with food trucks (if permitted)

Sound is everything at an outdoor ranch wedding. Make sure your entertainment team has experience with outdoor venues and can work with the existing sound infrastructure. Milagro Ranch has a built-in DJ plug-and-play surround sound system.

✅ Plan Your Florals and Décor

Ranch venues shine with organic, natural styling: pampas grass, eucalyptus, wildflowers, cotton stems, or lush blooms depending on your season. Our in-house florist and décor packages are available as an add-on.

✅ Send Save-the-Dates

If guests are traveling from out of town, send save-the-dates early. Include hotel recommendations (the nearest hotels to Milagro Ranch are approximately 15 minutes away in Ennis or Waxahachie) and information about on-site overnight lodging options.


3–6 Months Before the Wedding

✅ Order Your Dress

If you’re planning an outdoor or boho-style ceremony, think about your dress silhouette. Flowing fabrics, lace details, and long veils photograph beautifully in open-air ranch settings.

✅ Confirm All Vendors

Send confirmation emails to every vendor. Share the venue address, setup times, parking instructions, and your timeline.

✅ Plan Your Ceremony Layout

Work with your venue’s event manager to finalize your floor plan:

  • Ceremony setup (aisle length, chairs, arch placement)
  • Cocktail hour area
  • Reception layout (table configuration, dance floor size, bar placement)

1–3 Months Before the Wedding

✅ Send Final Guest Count to Caterer

Finalize your headcount so your caterer can place their order.

✅ Confirm Your Timeline With All Vendors

Create a master timeline document. Share it with your coordinator, caterer, photographer, DJ, and florist. Include:

  • Vendor arrival times
  • Ceremony start time
  • Cocktail hour
  • Reception timeline (grand entrance, first dance, dinner, toasts, cake cutting, dancing, exit)

✅ Arrange Transportation

For ranch venues outside the city, consider coordinating a shuttle from a nearby hotel for guests who prefer not to drive. This also helps with late-night departures.

✅ Break in Your Shoes

Outdoor venues mean outdoor surfaces: grass, gravel, flagstone. If you’re wearing heels, test them on similar surfaces beforehand, or bring a second pair of flat shoes for the reception.
